This policy explains what personal information we collect through this website, why, and the choices you have. Draft: [bracketed] details must be completed before publishing.
Who we are
Explore Bath & Bristol (bath2bristol.co.uk) is run by [legal name / trading name], [address]. We are the “data controller” for the personal information described here. Contact us at [email protected].
What we collect
When you book an event or create an account we collect your name, email address and (optionally) phone number, plus the details of your booking (event, number of places, when you booked). We also record that you agreed to this policy and, if you opted in, to receive emails about future events.
If you contact us, we keep the messages you send.
Why we use it, and our legal basis
- To run your booking and account (confirm your email address, send confirmations, let you view or cancel bookings, tell the organiser who is attending). Basis: it is necessary to provide the service you asked for.
- To email you about future events. Only if you ticked the optional box. Basis: your consent, which you can withdraw at any time in your account.
- To keep the site secure and prevent spam (for example limiting repeated sign-ups). Basis: our legitimate interests.
How long we keep it
- Bookings that are not confirmed by email are deleted after 24 hours, along with accounts that were never confirmed.
- Personal details on a booking (name, email, phone) are removed 30 days after the event. We keep only the event, number of places and status, to understand how popular events were.
- Your account is kept until you delete it, or until it has had no bookings or logins for 24 months.
- Marketing preferences are kept until you change them or delete your account.
Who we share it with
We do not sell your data. We use trusted services to run the site, who process data on our behalf: web hosting ([hosting provider, e.g. DigitalOcean]), email delivery (Brevo), and email (Google Workspace). [If enabled: we use Cloudflare Turnstile on our sign-up and booking forms to stop automated abuse; it processes your IP address and basic browser information.] [Add analytics or other services you use.] Some of these providers may process data outside the UK; where they do, they use safeguards such as standard contractual clauses.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or move it to another service. You can download your data and delete your account yourself at any time from your Account page. To change the email address on your account, contact us at [email protected].
If you are unhappy with how we handle your data you can complain to the Information Commissioner’s Office (ico.org.uk) or contact us first and we will try to put it right.
Cookies
[Describe the cookies the site uses, e.g. login cookies if you have an account, analytics cookies and how to control them.]
Changes to this policy
We will update this page if we change how we use your data, and show the date above.
